The Problem

Perform complex deterministic linkage analytics to amend missing leave start and end time in accordance to individual shift work and work patterns. Develop and maintain an integrated solution to support ongoing operations. Acquire data from multiple systems, embed complex business rules to cover multiple leave scenarios.

The Challenge

AnglicareSA transitioned to a new payroll system which utilised a third-party Software vendor for employee leave timesheets. Previous timesheet system was not designed to manage casual and shift-based employees, thus not enabling employees to complete entries i.e. start and end time within leave applications. Without this critical piece of data, payroll personnel could not process employee leave applications accurately and had to be manually entered, creating human errors. Third-party SW vendor was unable to meet AnglicareSA technical requirement. Collaboration with multiple external stakeholders (including HR system, payroll system vendors) and internal stakeholders (including HR, finance, payroll, corporate IT, network teams) would be required to design an integrated and automated solution to meet the business requirements and minimise human intervention. Sourcing data from multiple databases, the final solution would need to be integrated with the existing ETL solution. A web-interface solution was also required for the audit and ongoing governance.

Our Approach

Prioritising work and risk management: Payroll solution required close collaboration with stakeholders across multiple iterations to improve the algorithm to accurately address and reflect different scenarios.

Communication with multiple stakeholders: The proposed solution would be designed as a bridging system. Intensive collaboration across multiple external system vendors and internal client teams to understand business and technical requirements to deliver an optimized and sustainable solution to meet KPI’s.

Data analysis: Source data from disparate systems including HR systems for employment details (role/position), work allocation systems (work patterns) and payroll system (leave submissions). Identify missing data in the current leave time sheet (only applicable to time-sheet based employees when a part-day leave request is submitted). Perform
work patterns lookup based on individual HR roles, including individual multiple roles. Calculate start and end time based on leave sheet requested units (hours). Amend leave time sheet addressing the missing data issue.
